Confirmed Covid-19 Cases Protocol

In the case of a confirmed case within any of the centres, The Practice Rooms will follow government guidelines. As guidelines regularly change, this protocol will be under regular review.

Government Guidelines instruct that those who have been in close contact with someone who has tested positive for Covid-19 must self-isolate. This contact is defined as:

  • a person who has had face-to-face contact (within one metre), with someone who has tested positive for COVID-19, including:
    • being coughed on
    • having a face-to-face conversation within one metre
    • having skin-to-skin physical contact, or
    • contact within one metre for one minute or longer without face-to-face contact
  • a person who has been within 2 metres of someone who has tested positive for COVID-19 for more than 15 minutes.

Precautionary measures being taken at The Practice Rooms: 

  • Everyone entering the building is by appointment only, therefore a record of names, contact details, and times within the building are stored on the booking system and within Highrise CRM system for all members.
  • Practice Managers to keep clear records of their own times within the buildings, along with viewings and maintenance appointments.
  • NHS Track and Trace QR Code on display at the entrance of the building and everyone encouraged to use it.
  • Face coverings to be worn in all corridors and communal areas.
  • Members to follow Government Guidelines and their Professional Bodies Guidelines for precautionary measures when treating clients.
  • Hand sanitisers at the entrance.
  • Sanitising spray in all therapy rooms, toilets and the kitchen so members can clean touch points.
  • Signs at the entrance and within the building reminding everyone of hand washing, QR code and social distancing.
  • Room layouts set out to provide a minimum 2 metre gap between chairs.
  • Doors left open between bookings.

TPR Protocol for confirmed cases within The Practice Rooms:

A confirm case is when the individual has received a positive Covid-19 test result.

In all instances of confirmed or suspected cases within The Practice Rooms, a log of the following information will be made by the General Manager:

  • Date incident reported
  • Practitioners name
  • Date of appointment
  • Centre
  • Room
  • Whether all precautionary measures were taken
  • Notes of all information provided
  • Actions to be taken

This information will remain confidential and is not shared with the wider TPR community.

For unconfirmed cases, no immediate action will be taken:

  • If the individual is displaying symptoms they will be advised to self-isolate immediately, take a Covid-19 test, and inform those they have been in recent close contact with.
  • The case will be logged centrally by TPR and the individual will be asked to inform The Practice Rooms if they receive a positive test result.

For 1 confirmed case within a location and all precautionary measures were taken:

  • If not already doing so, they will be advised to self-isolate immediately
  • If they have not used the NHS Test and Trace QR code when entering the building, they will be asked to inform NHS Test and Trace. As per Government Guidelines, we will not use the information we have collected to contact people (see note).
  • As per Government Guidelines, The Practice Rooms will not share the identity of an individual who has tested positive with other members.

For 1 confirmed case within a location and precautionary measures were not taken:

  • Practice Manager will be informed of the incident without breaking confidentiality.
  • Cleaning staff will be informed providing details of the date, time, and rooms used.
  • Assessment will be made whether additional cleaning is required. This will be based on the room use and time frame between the visit.

For more than 1 confirmed case within a location and within a 14 day period:

  • TPR will contact the local health protection team to inform them of the potential outbreak (https://www.gov.uk/health-protection-team) and follow the advice given.
  • All steps for 1 confirmed case will also be taken.

If NHS Test and Trace contact The Practice Rooms direct, we will follow all instructions given and share the names and telephone numbers of those required.
